Roll Call:
President Scotty Stephenson called the meeting to order at 9:05 am at the Days Inn in South Hill, Virginia.
In absentia were the State Chaplain, the Assistant Boat Raffle Mgr, and the Region Directors from 5 & 7. Members Present
were the President, Vice President, Treasurer, Secretary, Conservation Director, Region Directors, Youth Director, and the Tight
Lines Editor. Guest present were Ron Southwick (DGIF), Randy Trout (for Region 7), Robert Richards (Region1) and Calvin &
Delores Hunter (Region 3).
Meeting Minutes:
Minutes from the November 2011 board meeting were recorded. The Region 9 Director
made the motion to approve the minutes, the Region 6 Director to accepted minutes w/ changes. The board voted unanimously to
approve minutes as written.
Guests - Department of Game and Inland Fisheries:
Ron Southwick with the Virginia Department
of Game and Inland Fisheries.. Mr. Southwick gave a report on the happenings and changes going on throughout the state and within
the Department.
Conservation Report:
The Conservation Director advised that North Carolina is doing a 100% Lake Gaston
Survey for Aquatic Vegetation. The results will be shared once they are received. The Conservation Director also gave
updates on the fight to keep Uranium Mining out of Virginia, he encouraged everyone to sign the petition at www.keeptheban.org to
keep Uranium Mining out of Virginia.

The President welcomed the new Board Members. The
President also presented outgoing Board Members with a plaque in appreciation for their services:

Treasurer’s Report:
The Vice-President reported the checkbook balance. The checking balance is $XXXXXX and the savings
balance is $XXXXX. The Treasurer also handed out an updated budget report. Region 6 Director made the motion to approve
the budget report. The Region 7 Director seconded the motion; the board approved the motion unanimously.
Youth:
The Vice
President reminded the board about attending the Future Fisherman Foundation’s seminar “Train the Trainers”. This is a two day
seminar February 18th & 19th at Harrowgate Elementary in Chester, VA. Please go to www.futurefishermen.org for more information.
Richmond
Fishing Expo.. January 20 - 22

The
youth are currently working on setting up a website for State Youth. Though the website is not working the new name is www.virginiayouth.com
Tight
Lines Report:
The next due date for articles for the Spring Tight Lines issue is February 15, 2012.
The President advised
that has received the 200 printed winter 2011 Tightlines. He will be distributing the magazines at the Fishing Expo and to prospective
sponsors. The President also announced that Ray Allen will be assuming the position as the new Tight Lines Editor.

Calendar of Events:
Changes made updating calendar.
CMN Tournament:
Discussion was held whether to keep the CMN
Tournaments for 2012. The Region 4 Director made the motion to keep the CMN Tournaments. The Region 7 Director seconded the
motion, the board voted unanimously to approve the motion.
Region 4 Director has secured ramp for Smith Mtn.
The
Region 7 Director – will handle ramp for Chick.
The Tournament Director – will secure ramps for Buggs and Classic.
No Pre-registration
The
Vice President will be updating CMN Fliers and will send them to the Region Directors for distribution.
By-Law Updates (Website):
The
Region 9 Director has completed changes to By-Laws and has posted to the Website.
The President addressed Region 5’s By-Law
change from the November Board Meeting. Region 7 Director made the motion to accept the by-law change. The Region 8 Director
seconded the motion.. The President requested a “Roll Call Vote” and the results are below:

Region Status:

Region 3 status.. The Region 3 Director reported that he has 3 clubs and is trying to add additional clubs.. The Region
3 Director has a need for tournament scales.. Please contact him if you can help.

Mr. Bass 2012:
The Region 4 Director verified that the Ramp has been secured. The Region 4 Director is still working
on details for Host Hotel and the Banquet room to do meeting. Registration forms for Mr. Bass/ Chapter Team should be sent to
Region Directors by first week of February..
Dues 2012:
If you have not sent dues in please do so by 01/31/2012. If your
dues have not been received by aforementioned date, the nonpaying club will not be able to participate in 2012 State Tournaments.
Tournament Scales:
The President is currently looking into options for repairing the current scales or having them replaced. Back up scales will be used until a new option is available.
New Business:
Chapter Team date conflicting with BASS
Nation:
Scotty has contacted Bass Nation VA President regarding the conflicting date for the 2012 Chapter Team. The Chapter
Team Date for 2012 will not be changed. The President is currently trying to contact the President for Bass Nation regarding
the 2013 Chapter Team.
Voting Privileges for Conservation Director:
The Conservation Director requested to have voting
privileges during board meetings. Discussion was held and it was determined that voting privileges would not be given.
Comments:
Region
9 – The Region 9 Director needs any info for the 2012 Lowrance Book as soon as possible.
There being no further business, the
meeting was adjourned at 1:25 pm. with a motion from the Region 7 Director. The Region 10 Director seconded the motion. The Board voted unanimously to approve the motion.
